In 2025, office moves became one of our most requested project management services.
At first glance, an office move may seem like a simple logistical task. In reality, it is a full scale project that requires planning, coordination, clear and consistent communication, ongoing review of the risk management, and steady oversight. This combination makes it a strong case study for the type of project management support we provide.
Office moves are not just about moving boxes. They involve leases, notice periods, vendors, IT, elevator bookings, parking permits, inventories, purchasing, and junk disposal. This surprising long list of logistics takes around 80-90 hours of work spread over several weeks or months — not even including tenant improvements or vacancy repairs. Timelines, capacity and skillset that do not always line up. Many organizations underestimate how much coordination is required, and how starting to plan late can make the move even harder.
With Executive Directors, operational leads, and the management team often already working at capacity, adding 80 to 90 hours of work is usually unrealistic.
This year, we supported four organizations to move offices within Metro Vancouver.
Some were small teams of three or four people. Others included 15 to 18 offices, boardrooms, shared spaces, and temporary relocation during renovations.
Our role with all of our engagements follows core project management principles. We gather requirements, contact vendors, review lease terms, build a realistic schedule, identify risks before they become problems, coordinate movers and vendors, collect and summarize quotes, manage inventories, and communicate with your team to ensure everyone knows what needs to happen by when.
